Duties of the Group Treasurer

Local Groups Year End & A.G.M. Dates

All Groups which have adopted the Model Constitution, and the great majority of others, have a constitutional requirement to produce an annual set of accounts and the treasurer to present them in writing to the Group’s Annual General Meeting. Usually this means the Group will have a fixed Financial Year End, a few weeks before the AGM, and during this period the accounts will be audited.Under the terms of the Model Constitution, the Auditor can be any competent person, including a member of the Group (although s/he should not be a committee member).

Below are two good examples of income and expenditure accounts for typical Local Groups. The style of presentation of these has the approval of YHA management, and it is strongly suggested that Groups follow a similar format. One of the examples shows that the Group has two accounts, a current account and a high interest account. Other Groups have a special account for hostel booking fees, etc. If this sort of arrangement exists in your Group, this needs to be clear from the statement.

There is of course no need to change your procedures if your accounts are more elaborate or your auditing procedures more rigorous than those suggested.
